Administrative Assistant

We’re excited to find an amazing Administrative Assistant to join us! We are looking for an individual who is organized and loves doing something different every day! To be a successful Administrative Assistant in our company, this person needs to be proactive, resourceful, enthusiastic, detail-oriented, and passionate about the importance of organization. As our team’s Administrative Assistant, you would be our all-around support expert, working with teams across the organization globally.

In this newly created Administrative Assistant role, the perfect candidate is a detailed individual. Responsibilities

  • Able to handle highly sensitive, confidential information in timely manner

  • Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.

  • Coordinate staff travel arrangements including booking flights, cars, and making hotel and restaurant reservations.

  • Process expense reports and follow up on check requests

  • Ensure office/janitorial supplies and snacks are fully stocked

  • Screen phone calls and route callers to the appropriate party.

  • Provide real-time scheduling support by booking appointments and preventing conflicts.

  • Maintain and organize files and databases in a confidential manner

  • Deliver polite and professional communication via phone, email, and mail.

  • Anticipate the needs of others in order to ensure their seamless and positive experience.


Qualifications

  • Administrative experience working in a fast-paced office is a plus.

  • Associate’s Degree or Bachelor’s Degree in a related field.

  • Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google Suite 

  • Excellent computer skills, especially typing.

  • Exceptional organizational skills and detailed oriented. (Detailed, detailed, detailed.)

  • Manage internal reports, basic system set up for new hires and handle dissemination at the time of termination.

  • Must have strong common sense and exercise a high degree of diplomacy, tact, and professionalism.
